2018 Annual General Meeting

OGAE Rest of the World held it's very first Annual General Meeting (AGM) on Thursday May 10th 2018 at 11:30am in Lisbon, Portugal.  The meeting was also broadcast on Facebook Live for those that could not attend.

Agenda

1.     Welcome

·       Belinda Conn, President of OGAE Rest of the World welcomed members to the AGM

·       It was a challenging year for OGAE Rest of the World with many initiatives achieved including;

o   Development of the website

o   Updating the Facebook page

o   Circulation of newsletters

·       20% of members do not use Facebook therefore we also send updates via email

·       Fees – membership fees will remain unchanged for the 21087/2019 year.  OGAE Rest of the World charges its members less than the amount the club is charged by OGAE International

·       Information sharing – all information received from OGAE International on the Presidents Facebook page is shared with club members as soon as possible so members are kept up to date on developments (i.e. information is shared within hours)

·       When it comes to negotiating ticket packages, there are instances where we cannot immediately share all the information with club members as there is a risk of losing ticket package allocations if information is shared before the allocations are finalised with the host broadcaster.

2.     Treasurer's Report

·       Marcus Davey, Vice President of OGAE Rest of the World provided an overview of the club’s financial status

·       The club’s bank accounts are in EUR currency with expenses also in EUR

·       Club expenses include the OGAE membership fee, stickers and cards

·       OGAE International charge EUR 12 for OGAE Rest of the World to be a member of the bureau

·       The OGAE International statutes are under review and may be changed – a change to the statutes may incur a fee

·       Club fees also go towards supporting the host club e.g. OGAE Portugal paid for the Eurocafe in Lisbon

·       In the event a ROW country wins Eurovision, OGAE Rest of the World would be responsible to organise – currently OGAE Rest of the World represents San Marino and Moldova.

·       Current revenue in the bank account is EUR 3,373.47.  Current expenses are EUR 200

3.     Constitution

·       Kyle Woods, Board Member of OGAE rest of the World

·       We issued the draft constitution to members in late 2017 and had a consultation period where members had the opportunity to provide comments and feedback

·       Kyle responded to all comments and feedback and the responses were published on the website

·       The club voted on whether or not to adopt the constitution in its current form

                                               i.     Unanimous Agree to adopt the constitution from members present in the meeting

                                              ii.     Unanimous Agree to adopt the constitution from absentee members

 

4.     Reconfirmation of member preferences in relation to ticket allocation

·       Belinda Conn, President of OGAE Rest of the World

·       Members were asked to vote for either the current points system or an alternate lottery system

                                          I.         Unanimous Agree to continue with current points system from members present in the meeting

                                         II.         Unanimous Agree to continue with current points system from absentee members

 

5.     Code of Conduct

·       Marcus Davey, Vice President of OGAE Rest of the World

·       The Code of Conduct will be reviewed over the next few months and a consultation period will be held where members can provide feedback

6.     Future Board Elections

·       Belinda Conn, President of OGAE Rest of the World

·       3 Board positions have not been formally ratified and will therefore be made available for election in late 2018

·       The roles that will be up for election are;

                                               i.     President

                                              ii.     Vice President

                                             iii.     Board Member

·       An Election Coordinator will be needed to manage the election process.  Members will have the opportunity to nominate themselves for the election coordinator role in late 2018.
